For Ontario Community Care
Give your team their time back.
Merakey's AI takes on the compliance checks, documentation, and medication paperwork that eat your week, so your people can spend it on care instead of admin.
Ontario DS agencies manage compliance for hundreds of individuals across dozens of group homes. The tools they use? Spreadsheets, paper binders, and the institutional memory of staff who might not be here next year.
The compliance burden
Funding up 7%. Costs up 70%. The inspection bar hasn't moved.
Audits find what spreadsheets miss
Expired certifications, training gaps, eMAR documentation issues. Found during Ministry inspections, not before. One missing signature on an ISP can trigger a compliance condition.
The staff who knew the file are leaving
Ontario's DSW training pipeline is collapsing. Twelve of the province's thirteen college programs cancelled or cut their January 2025 intake. When an experienced supervisor leaves, what an inspector actually asks for leaves with them.
Flat budgets, growing demands
Developmental services agencies have seen base funding rise less than 7% in three decades while the cost of living climbed almost 70%. More than 28,000 people are waiting for residential supports. Every hour spent on manual compliance prep is an hour not spent on direct support.
What we do about it
Make the systems you already run talk.
Connect what doesn't connect
Home Portal, pharmacy systems, email, WhatsApp and Slack feeding one place instead of five.
Enter it once
No re-keying the same record into a spreadsheet, a binder and a portal.
See it where you already work
Answers surface in the tools your team opens anyway, not behind another login.
Hours back on routine work
The checks, the chasing and the paperwork run on their own.
It already knows your agency.
Your records live in one system, medication in another, training in a third, and none of them talk. Sentinel reads across all of it and your team just asks. No new logins, no reports to run, and no waiting on the one person who knows where things are kept.
What your team can do with it
Ask
“Whose first aid expires before the next inspection?” Plain English, answered from every system at once.
Watch
Tell it what matters. It tells you when a certification is about to lapse or a record is missing.
Do
Set up the routine work once. Reminders, summaries and follow-ups run without anyone chasing them.
Bridges systems that never connected
One answer built from client records, medication and training together, instead of three people checking three screens.
Tells you before it becomes a finding
Expiring certifications, overdue reviews, gaps in a record. Flagged while there is still time to fix them.
Keeps what people take with them
Your policies and the way your agency actually does things stay available after the person who knew them moves on.
Built for Canadian privacy law
Runs on Canadian servers only your agency uses. Every answer is logged and ready for your privacy review.
How it works
From first call to live in weeks, not quarters.
Every Merakey product runs on the same Canadian infrastructure, shares the same audit trail, and connects to the tools your team already uses. One onboarding. One login. One team to call.
Start the conversationTell us what you need
Quick call to understand your workflow, regulations you answer to, and what's eating your team's time. We map Meridian, Sentinel, and Healex to your actual operations and recommend a starting point.
We connect the systems you already use
Home Portal, your pharmacy system, email, WhatsApp. We link them up so the same information stops getting typed in three places. Your staff keep working the way they already do, and everything stays on Canadian servers.

We train your team, at no charge
We sit down with your staff and walk through the work they actually do: what to check before an inspection, where a record lives, how to pull a report for the Ministry. Training is included, and you can book us again whenever you bring new people on.
Privacy and security
Privacy by design.
Most AI tools add privacy after the fact. We built ours for organizations that already answer to PIPEDA, to MCCSS confidentiality rules, and to the people they support. Here is what that means beyond where the servers sit.
Canadian by choice, not by minimum
Privacy law lets Canadian organizations send personal information abroad if they put the right protections in place. We decided that should not be the default for records about people with developmental disabilities, so we kept everything here.
- Stored and processed on Canadian infrastructure
- No client information routed through American AI services
- You are told exactly where information lives and who can reach it
The rules are built into the AI
A secure server does not stop an AI from collecting more than it should, keeping it longer than it should, or quietly reusing it. Canada's privacy regulators put out guidance in 2023 on exactly this. We built to it.
- Your information is used for your purpose only, never to train anyone else's model
- Records are kept for a set period rather than indefinitely
- Every answer is logged, so what the AI did with a record always has an answer
We work in healthcare already
We are not an AI company that discovered this sector last year. We build and run the software behind pharmacy systems in Canada, which means we handle sensitive records under Canadian rules every day, not just in a policy document.
- Built around PIPEDA, and PHIPA where an agency delivers regulated health care
- Designed for MCCSS confidentiality and records obligations under Reg 299/10
- Ready to support your privacy review, and we will never claim a certification we do not hold
Integrations
Works with what you already run.
Your agency already has systems for records, medication, training and payroll. We meet them where they are instead of asking you to replace anything.

Most systems in this sector have no open connection available. Where a vendor offers one we use it, and where they do not we work from the exports your team can already produce. Tell us what you run and we will tell you straight what is possible.
Who it's for
Every role in your agency.
Compliance is not one person's job. It touches everyone from the board table to the overnight shift, so everyone gets something back.
Executive Directors
You are protecting funding and your team at the same time. Fewer hours lost to audit prep means fewer hours taken away from the people you support.
“I know where we stand before the Ministry does.”
Quality and compliance leads
You carry QAM compliance across every home and program. One place to see every gap, instead of six spreadsheets and a lot of hope.
“I can see every gap before the inspector does.”
Program managers and supervisors
You run the homes and day programs. See what is outstanding for your sites without waiting for someone else to pull a report.
“I can fix it this week, not after the audit.”
Front-line staff
Nothing new to install and nothing extra to fill in. The records you already enter get checked in the background, so gaps surface while there is still time to fix them.
“It just tells me what is missing.”
HR and training coordinators
Certifications expire and new staff arrive constantly. Training records are checked against what each role actually requires, so nothing lapses quietly.
“I know whose training is about to run out.”
Finance and administration
Compliance conditions cost money and staff time. Catching issues early keeps that work predictable instead of turning into an unplanned scramble.
“No surprises landing on my desk.”
Security and infrastructure
Built for an Ontario compliance inspection
A privacy breach is a Level 1 serious occurrence, and you have one hour to notify the Ministry. That is the standard we build to. Here is what your IT manager, your operations lead and your board will ask, answered before you have to ask it.
Your data stays in Canada
Stored and processed on Canadian servers only your agency uses.
Encrypted end to end
TLS in transit, AES-256 at rest, on every service that touches your records.
Roles, SSO and MFA
Permissions follow the job. Sign in with the Microsoft or Google account you already have, with multi-factor on.
Every access is logged
Who opened which record and when, exportable when an inspector asks.
Backups we actually restore
Automated daily backups with point-in-time recovery, and we test the restore instead of assuming it.
Seven years, because that is the rule
Regulation 299/10 requires service records for seven years after service ends. Storage is built around that.
A breach is a one-hour clock
If anything ever originates with us, you get the nature, scope and remediation detail you need to file. Immediately, and in writing.
No certification theatre
We will not claim a badge we have not earned. Ask us anything and we will answer it straight.
The rules we build to
We know the ones that apply to you
PIPEDA
Canada's federal privacy law. Ten principles covering consent, how little you may collect, how long you may keep it, and who stays accountable.
Generative AI principles
Issued jointly by Canada's federal and provincial privacy regulators in 2023. Accountability for a decision stays with your agency, never with the software.
Regulation 299/10
Your Quality Assurance Measures obligations. Records confidentiality is a named compliance inspection indicator, not an afterthought.
Privacy reviews
We give your privacy officer what they need to assess this properly, including an impact assessment of what the AI does with a record.
